Quotations Benefits

The Quotations module is an add-on to the Sales Order Entry module. This system allows you to quickly generate customer quotations containing assemble-to-order (through option processing) stock items, engineer-to-order or build-to-order (through Estimating) products, whether net-new or previously quoted products. Quotes can be entered for new and existing customers with full real-time delivery feasibility testing, and then the quotes can be easily "cut-over" into sales orders.

Quotations Features

The Quotations module has been fashioned after Sales Order Entry programs; therefore, it has a familiar look and feel. Within a short time, the user can enter multi-line quotes. There is also real-time testing for part shipment availability even before the quote has been awarded. This is done in a simulation mode so it does not update the Planning, G/L, Inventory, or Sales Analysis modules until the quote is awarded or "cut-over" into a sales order.

The user can customize the ways in which the Quotations module works by setting "behavior switches". Various defaults for such things as text printing and quote expiration periods can be set. However, these settings can be overridden on a quote-by-quote basis, if needed. Whether or not to allow edits of an awarded quote, or to warn the user if edits are being made to an awarded quote, can also be specified. The user can also specify whether or not to automatically delete a quote after being "cut-over" to a sales order.

Another feature of the Quotations module is that the user can select specific, previously entered estimates and enter them as lines on a quote. The user can also select any previously entered quote, copy, and edit it to create a new quote. And if needed, the user can create a quote/sales order "cross-reference" file that tracks all quotes that have been "cut-over" into sales orders. The Quotations module tracking, copying, and editing features are powerful. Some examples of key information the Quotations module allows you to enter and track are:

  • Quote number (manual or system generated)
  • Customer code for existing or new customers
  • Quote cancellation or expiration date
  • All related part/cost information
  • Requesters and RFQ numbers
  • Shipping instructions

Estimating Benefits

Estimating is an add-on module to the Quotations and Sales Order Entry module. This module allows you to enter estimates for new and existing customers, and then easily "cut-over" the estimates into quotations or sales orders. It provides product engineering with an off-line workbench to pull in available product and routing data to modify or start from scratch to design, cost, and price the new product. For products that are currently configured for sale in CMS, cost simulations for abnormal order quantities can be analyzed to determine the proper pricing structure for a particular order. Estimates have approvals and disposition functionality to ensure proper actions are taken.

Estimating Features

You can enter an estimate for parts that are in stock or parts that you have never worked with before (non-stocked parts). When generating estimates for stocked parts, the data in the part master file is defaulted to the screen. When generating estimates for new parts, copy features are provided to allow you to copy similar BOMs and/or route structures from existing parts to base the estimate on. Also, you can copy an existing estimate. You can enter an estimate for an existing customer or you can leave the customer blank.

You can determine whether costs are to be entered, calculated, from the price catalog, or by cost type to help determine selling prices for the estimated quantities. This estimating function can explode Bills of Material (BOMs) and routes through multiple levels to obtain component costs.

In addition, you can enter data about the estimate to allow you to control approvals, estimate status, and follow-up with the customer. Each estimate can be assigned an expiration date and a follow-up date and the follow-up can be assigned to an individual. You can also define an office routing for the estimate, instructing it to be passed to particular persons or departments. Individual approvals can be recorded for engineering, accounting, production, and final approval.

When a quotation or sales order is created, the user can select an estimate from which to create a sales order line. At this time, or earlier if desired, an estimate that contains a non-stocked part can be cut-over to automatically build the Part Master file, the Bills of Materials Master file, and the Route Master file.
